01 · Privacy policy

How we handle your data.

Who we are

Botfix is operated by Bot Fix Ltd., a company registered in England & Wales. Bot Fix Ltd. is the data controller for any personal data you share with us via this website. Contact: info@botfix.co.

What we collect

  • Information you give us. When you fill in the contact form: your name, email address, phone number (optional), company (optional) and the content of your message.
  • Information collected automatically. Standard server access logs (IP address, user agent, requested URL, timestamp) for security and abuse prevention.
  • Cookies and similar. See the Cookie policy below.

Why we collect it

  • To respond to your enquiry and quote, schedule, deliver and bill for services you ask us to provide.
  • To keep records of work performed, for warranty and tax purposes.
  • To monitor and improve the website, and protect it from abuse.
  • To comply with our legal obligations.

Lawful basis

We rely on (a) your consent (e.g. for non-essential cookies), (b) the performance of a contract with you (when you book a repair or training), and (c) our legitimate interests in running, securing and growing the business, balanced against your privacy rights.

Who we share it with

We do not sell your data. We may share it with:

  • Service providers who run our infrastructure (hosting, email delivery, analytics, payment processing). They process data on our behalf under written agreements.
  • Professional advisers (accountants, lawyers) where strictly necessary.
  • Authorities, where we are legally required to do so.

How long we keep it

Enquiry records are kept for up to two years from your last contact, unless we have an ongoing relationship. Customer records (invoices, repair records) are kept for at least six years to meet HMRC requirements.

Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you.
  • Have it corrected if inaccurate.
  • Have it erased where there is no overriding legal reason for us to keep it.
  • Restrict or object to processing in certain circumstances.
  • Receive your data in a portable format.
  • Withdraw consent at any time, where we relied on consent.
  • Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

To exercise any of these rights, email info@botfix.co. We respond within one calendar month.

International transfers

Some of our service providers (e.g. analytics, email) may process data outside the UK. Where they do, we rely on adequacy decisions or standard contractual clauses to safeguard your data.

Security

We use HTTPS across the site, store data on UK / EU infrastructure with reputable providers, and apply access controls so only those who need it can see your data. No system is perfect — if you believe a breach has occurred, tell us at once.

Changes

We may update this policy from time to time. The "last updated" date at the top of this page reflects the most recent change. Material changes will be highlighted on this page for a reasonable period.

02 · Cookie policy

Cookies & tracking.

What are cookies

Cookies are small text files stored in your browser. We use them, and similar technologies (local storage, pixels), to make the site work and — with your consent — to understand how visitors use the site so we can improve it.

Consent

On your first visit you'll see a banner asking whether you accept analytics and marketing cookies. We use Google Consent Mode v2 — everything except strictly-necessary cookies starts as denied until you accept. You can change your choice at any time using the cookie pill in the bottom-left of the page.

Categories we use

  • Strictly necessary. Session, security and consent-state cookies. Set without consent. The site cannot function without these.
  • Functionality. Remembers preferences (set only if you accept).
  • Tracking / analytics. Google Analytics 4 to count visitors and understand which pages are useful (set only if you accept).
  • Targeting / advertising. Google Ads, Microsoft Ads and similar to measure ad effectiveness (set only if you accept).

Tag management

We use Google Tag Manager (delivered server-side via Stape) to manage tags. This routes data to Google Analytics 4, Google Ads, Microsoft Ads and Meta — all gated by your consent choice.

Controlling cookies in your browser

All major browsers let you delete and block cookies. Doing so may break parts of the site. See allaboutcookies.org for general guidance.

03 · Terms of service

The basis we work on.

These terms

These terms apply when you engage Bot Fix Ltd. ("we", "us", "Botfix") for repair or training services, unless we agree something different in writing. By instructing us to proceed with a quote you accept these terms.

Quotes

Initial estimates given before we have inspected a unit are approximate. A fixed-price quote is given after diagnostic inspection and is valid for 30 days. We don't begin chargeable repair work without your written approval of the quote.

Inspection & postage

For send-in repairs, return postage is at your cost unless otherwise agreed. If we have to decline a repair (no-fix), we may still charge an inspection fee — this will be made clear before you send the unit.

Payment

Payment is due on completion of work, before return shipping or release of the unit. Business customers may be invoiced on standard 14-day terms by prior arrangement. Late payment is subject to interest under the Late Payment of Commercial Debts (Interest) Act 1998 where applicable.

Warranty

We warrant our repair work for 30 days from the date the unit is returned. If the same fault recurs within that period, we'll put it right at no further cost. The warranty does not cover new faults, accidental damage, liquid damage, unauthorised modification, or wear-and-tear consumables.

Unclaimed units

If a unit is left with us for more than 90 days after we have notified you of completion or decline, and you have not paid or arranged collection, we reserve the right to recycle or dispose of it under the Torts (Interference with Goods) Act 1977.

Liability

Nothing in these terms limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law. Subject to that, our total liability under any engagement is limited to the fees paid by you for that engagement. We are not liable for indirect, consequential or business losses.

Consumer rights

If you contract with us as a consumer, your statutory rights under the Consumer Rights Act 2015 are not affected by these terms. We perform repairs and training with reasonable care and skill.

Governing law

These terms are governed by the laws of England & Wales. The courts of England & Wales have exclusive jurisdiction to settle any dispute.

04 · Affiliate disclosure

When we earn from a link.

Some of the product links on this site are affiliate links. When you click one and buy something, we may earn a small commission from the retailer (typically Amazon, via the Amazon Associates programme). The price you pay is exactly the same as if you'd gone direct.

Affiliate commissions help fund the site — the buying guides, the workshop, the time we spend testing. They do not influence what we recommend. We pick products based on what comes through our repair workshop and what we'd happily run ourselves. Where we don't think a category leader is worth its asking price, we say so.

Where a link is an affiliate link, the link itself uses standard UK practice: rel="sponsored noopener" on the anchor, opens in a new tab, and the source page makes the commercial relationship clear. We mark affiliate sections on the page (e.g. "Top picks on Amazon" carries an explicit note).

As an Amazon Associate, Bot Fix Ltd. earns from qualifying purchases. We are independent of Amazon and any other retailer we link to. Questions about this disclosure: info@botfix.co.

05 · Trademark notice
